Automatically Populate PDF and Word Documents from Zoho Forms

Using online forms on your website can be a great way to collect information form new leads and customers.  With a tool like Zoho Forms you can easily build mobile-friendly forms that can be embedded directly in your website.

Add WebMerge to the mix and you can automatically take the information being collected through Zoho Forms and populate templates that you have setup in WebMerge.  You can easily generate PDF & Word documents like invoices, proposals, contracts, letters, and more.

In this example, we’re going to show you how to automatically generate a sales proposal with data collected through the Zoho Form on our website.

To get started, we’re going to setup the template for our proposal using a Word document.  In our Word document, we’re going to add our repeated information like our logo, address, and company details.  For the spots that we want to insert our lead’s details, we’re going to use merge fields that look like {$FirstName}, {$LastName}, {$Address}, etc.

Here’s what our proposal template looks like:


Once we have our template finished, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button and enter a name.  On the next step, pick Office Document as the document type then pick the file from your computer.


After you’ve uploaded your template to WebMerge, you’ll be taken to the Settings tab where you can modify various options like the type of file that is generated and the name of the file.  For this example, we’re going to generate a PDF and include the name of our lead in the file name.


Next, we’re going to setup the delivery of our document so that the proposal is automatically emailed to our lead.  From the Deliver tab, click the Edit button under the default email delivery.  For the To address, we’re going to choose the merge field we have in our document for the lead’s email address.

If you don’t have a merge field for the email address, choose <<Other>> from the dropdown, then enter something like {$Email} in the box.

Feel free to modify any of the other email settings.  You can add merge fields there too.


Once you have your email delivery setup and saved, you’re done with the setup process in WebMerge and we’re ready to hook up the document with our Zoho Form. 

Inside Zoho Forms, we’re going to add the WebMerge integration to our form.  Under the Settings page for your form, click on the Document Merge tab, then choose WebMerge.  After you enter your API Key, Zoho will have you pick the document you want to merge


Once you pick the document that you want to merge, Zoho will load a list of the merge fields in your template.

For each merge field, you need to pick the corresponding fields from your Zoho Form.  This tells Zoho how to send your data over to WebMerge so that it is populated in the correct spot on your template.


Once you have matched up all of your merge fields, you’re done with your integration and you need to Save.  We’re ready for a test!  Go submit a new entry on your form and Zoho will take that information, send it over to WebMerge, and your proposal will be generated.

Need to Adjust Pricing based on Qty in Zoho CRM Quotes Module

Zoho CRM is one of the most powerful CRM platforms in the market. A common process used by maverick entrepreneurs is the creation of Quotes under each Contact or Account as part of the Potential opportunity stage cycle.

Each Quote allows you to add multiple products so your Client can get an estimate on the cost with a very granular description of all the pricing and components of your product or service. However, when you manage multiple products with a different price tree structure the complexity can easily become a hassle to handle when different Qty´s have multiple prices.

Therefore, if your pricing structure is a complex maze of prices for different Quantities you are better off letting an automatic script handle your pricing calculations.

How to properly set subforms in Zoho Creator Part 2


To build a robust Order form in zoho creator you need to be able to automatically "fetch" the information about a product and let the system pre populate the subform with pre existing data in the Products Table.

First, you need to have a Products form with all the relevant information about the Product. Price, Description, etc.

Second, you need to fetch the Product information based "On user input" inside the items Subform and add the below deluge scripting.

Create and Manage HR Documents from ZOHO Creator

Managing your HR processes can be a daunting task.  From collecting new employee information, tracking time off, and handling payroll, there is a lot to keep track of and a lot of documentation to go along with it.  No sweat!  There’s a great tool called ZOHO Creator and you can build a customized HR app that allows you to manage all of your HR data across your entire business.  Then, combined with WebMerge you can generate employee contracts, insurance applications, state forms, and more.

In this example we’re going to show you how you can generate new employee intake documents with WebMerge when an employee is added to your ZOHO Creator app.  We’ll be generating a new employee contract automatically with a little added help from Zapier.

To get started, we are going to create a new document in WebMerge and upload our Employee Contract template (a Microsoft Word document).  This template is already setup with merge fields like {$FirstName}, {$LastName}, etc and that tells WebMerge where to put the employee information throughout the contract.
 

Next, we’re going to integrate the delivery of the document with SignNow so that we can get the employee’s signature on the contract.  Go to the Delivery tab for your document setup, then click New Delivery.  Select the SignNow option and then authenticate your SignNow account.  Complete the rest of the settings and indicate the signer info, then save the delivery.
 

Now, it’s time to setup the Zap so that your ZOHO Creator information automatically to WebMerge.  Login to Zapier and create a new Zap with ZOHO Creator as the Trigger and WebMerge as the action. 
 

Once you authenticate your accounts with Zapier, you’ll need to pick your WebMerge document that you want to merge and then map the merge fields with the corresponding ZOHO Creator fields.  This tells Zapier how to send the data to WebMerge to make sure it is put into your merged document correctly.
 

After you have mapped the fields, go ahead and jump down to the Test section.  This allows you to send test information from ZOHO to WebMerge using your settings and you will see how the process works.  If you need to make any changes, do so now.  Here’s what our contract looks like:

New Plugin: Send Contracts for Closed Potentials in Zoho CRM

We're excited to announce that we have partnered up with Zoho CRM to provide a direct integration to WebMerge.  With the WebMerge plugin, available in the Zoho Marketplace, you can generate documents (invoices, contracts, quotes, etc) with the click of a button right inside Zoho CRM!  You’ll never have to copy & paste data from Zoho into documents again!

For this example, we’re going to show you how you can generate contracts for a Potential that has been closed/won in Zoho CRM.  We’ll also be sending the contract over to DocuSign for signature.  Zoho CRM has released a new plugin that we’ll be using to send data over to WebMerge – more on that in a bit.

To get started, we’re going to setup the template for our contract using a Word document.  Inside our contract template, we’ll add our boilerplate contract info and then for the spots that we want our customer and potential data to go, we’re going to use merge fields that looks like {$FirstName}, {$Amount}, etc.

Here’s what our contract template looks like:
 

Since we’ll be collecting a signature for the contract using DocuSign, we need to add a signature tag to the doc so that DocuSign knows where to place the signature.  This signature tag is just like any other text in our document and looks like:   \s1\
 

Once we have our contract template finished, we need to upload it to WebMerge.  From the Documents page in WebMerge, click the New Document button and enter a name for your document.  On the next step, pick Office Document as the document type and select the file from your computer.
 

After we upload our template, we’ll be taken to the Settings tab where we can change various settings like the type of file that we want to generate and the name of the file.  For this example, we’re going to generate a PDF and include the name of the deal in the file name.
 

Next, we’re going to setup the delivery of our document so that it is automatically sent over to DocuSign for signature.  From the Deliver page, click the New Delivery button and select DocuSign from the list.  After you authenticate your DocuSign account, you’ll need to pick the merge fields for the signer’s name and email address.
 

After you have setup the DocuSign delivery, we are done with the setup in WebMerge and we’re ready to integrate with Zoho CRM.

To integrate with Zoho CRM, we’re going to use the WebMerge plugin that is available from Zoho Marketplace.  You can install this plugin here: https://crm.zoho.com/market/installPlugin.do?portalName=zohoplugin&nameSpace=webmergedocumentgeneration

Inside Zoho CRM, to go the WebMerge Mappings module and create a New Mapping.  Give the mapping a descriptive name and then pick Potential as the module.  We’re going to choose Document as the WebMerge Resource and then choose the document that we just steup in WebMerge.
 

Once you pick your WebMerge document, Zoho will load a list of all the merge fields that are in your document.  For each of the merge fields, you need to pick the corresponding CRM fields.  This tells Zoho how to send your data over to WebMerge so that it gets populated in the correct spot on your template.
 

After you have matched up all of your merge fields, go ahead and save the mapping.  We’re ready to generate the contract!  Open up one of your Potentials and then click the WebMerge button.  This will generate the contact and send it over to DocuSign for signature.

How to properly set Subforms in Zoho Creator Part 1

First, you need to create at least 2 Forms. For example.- Orders and Items. An Order can have multiple items and 1 item can be part of many Orders. Creating a many to many relationship.

Second, you need to add the Subform Items inside the Form Orders and name it. Then you have to add a Lookup field in the Items Form and click on Existing Relations. 


Do NOT forget this part. This is the key. You must have a lookup field linking the original Form to each record on the subform you are creating. Makes Sense?
